What a usable invoice actually needs
An invoice is not decoration — it is a document that has to survive an accounts payable department. Six things make the difference between “paid in a week” and “emailed back three times”:
A unique number. Sequential and never reused. If two invoices share a number, the second one looks like a duplicate and gets held.
Both parties identified. Legal name plus an address for each side. A trading name alone is often not enough for a company to book the cost.
Dates. Issue date and due date as separate fields. “Net 30” means nothing without a start date on the page.
Line items with quantities and unit prices. A single total figure forces the client to ask what it covers.
Tax shown as a separate line. Even at 0%, state it. Without it the client cannot reclaim VAT and will come back to you.
How to pay. Bank details or a payment link in the notes field — the single biggest cause of late payment is an invoice nobody knows how to settle.
Tax, discount and rounding
The calculator applies the discount to the subtotal first, then taxes the discounted amount. That is the common convention, but it is not universal — some jurisdictions require tax on the gross and the discount shown separately. If your accountant insists, set the discount to zero and put the adjusted price in the line items instead.
Money is summed in whole cents internally rather than as floating point, so 0.1 + 0.2 does not produce a total ending in ...0000000004. The visible figures are rounded only at display time.
Multiple tax rates (for example a mix of standard-rated and zero-rated lines) are not supported in one invoice here — split them into two documents, or apply the dominant rate and explain the rest in the notes.
Printing to PDF without a plugin
There is no server-side PDF generation, which is deliberate: your client names and amounts never leave the browser. The print stylesheet hides the form and the site chrome, so what comes out of “Save as PDF” is the invoice alone, on A4 or Letter depending on your printer settings.
Set margins to “Default” rather than “None” — the page already carries its own padding, and zero margins will crop the footer.
Frequently asked questions
Is this invoice generator really free?
Yes. No account, no watermark, no export limit. The page runs entirely in your browser, so there is no per-invoice cost to pass on.
Where is my data stored?
In this browser's local storage only. Nothing is sent to a server; clearing site data or pressing “Start over” removes it. That also means the invoice will not follow you to another device.
Can I save the invoice as a PDF?
Yes — press Print and choose “Save as PDF” as the destination. The print layout hides the form and keeps only the invoice.
Does it support multiple currencies?
Yes, eight common currencies with the correct symbol. The currency is a label only; no exchange-rate conversion is applied.
Can I add more line items?
Press “+ Add line”. Each row has description, quantity and unit price, and the amount is recalculated as you type.
Is an invoice generated here legally valid?
It covers the fields most jurisdictions expect, but requirements vary — some countries mandate a tax registration number, a specific numbering scheme, or a digital signature. Check your local rules; this tool does not replace an accountant.
